It’s often very handy to be able to let other users view your calendars in Outlook and even to make changes to them.
Here is a guick how-to for two of our favourite ways of doing this. Note that this only applies to Exchange based users. We will be doing a post about Internet based calendar sharing later on.
Read only sharing
If you want to allow someone to view your calendar then this is the easiest way.
1) Go to your calendar view by clicking the Calendar icon in the lower left corner of Outlook
2) Click on Share My Calendar from the left-hand side links. This will open an email window already setup to send your permission request to another user. Just enter the email address of the person you want to give permissions to. You can also tick the box to request to view their calendar.
3) Ask the recipient to accept your permission change. They can then view your calendar by clicking the Open a Shared Calendar link in their Calendar and entering your username.
Full Permissions
Sometimes you may want to allow someone to have full access to your calendar to create appointments etc for you.
1) In Outlook click Tools -> Options then choose the Delegates tab.
2) Click Add and select one or more people from the Address Book to add to your delegates list. You will then be able to select the various permissions for Calendaring and other features. Select Editor from the Calendar permission drop down list. You can also set whether that permission can see and modify your private items (not recommended).
